Member management

Association, profiles, memberships, groups and permissions.

Member management is active in every SinfoniaOne association. It provides the foundation for all other modules.

Association

An association bundles members, permissions and all content – scores, marching books, setlists.

Required fields: name, description, address (street, zip, city), country (currently Austria). Optional: logo, contact email, founding year.

Whoever creates the association automatically becomes an association admin with full permissions. The association only becomes active once the legal terms have been accepted once.

A user can be a member or admin in multiple associations at the same time. You pick the currently active one via the association switcher at the top of the app.

Profile

Every user has a personal profile shared across all associations.

  • Short bio
  • Location, date of birth
  • Phone (international, e.g. +43123456789)
  • Profile picture
  • Theme preference (light / dark / auto)

The email address is the login identity and is managed in the account settings.

Memberships & joining

The path into an association:

  1. Sign up – the user creates a SinfoniaOne account.
  2. Request – the user files a join request for the desired association.
  3. Confirm – an association admin accepts; the membership is active immediately.

Alternatively the admin creates the membership directly if the user account already exists.

On first access to copyrighted content (e.g. in the score archive) every member has to confirm a copyright notice. The confirmation is stored per association with a timestamp – no repeated prompts on later accesses.

Roles & groups

SinfoniaOne avoids rigid roles and distributes permissions via groups.

Association admin

  • The founder is always an association admin.
  • Additional members can be promoted to admin.
  • Admins may edit master data, groups, memberships and billing.

Groups

Groups are configured per association. A member can belong to any number of groups – permissions add up.

Typical groups:

  • Librarian – manages scores, parts, setlists, marching books.
  • Board – maintains master data and memberships.
  • Musician – read-only access to scores and marching book.
  • Archivist – additionally manages the trash and permanently deletes entries.

Permission overview

Association-wide

  • Manage members
  • Create groups and assign permissions
  • Edit association master data
  • Access the dashboard
  • View and manage the trash

Per content type (in the respective module)

  • Create, edit, delete, export
  • Additional module-specific permissions, e.g. export sheet music as a combined PDF

Association defaults

Every new association is seeded with default genres and instruments so the archive is usable straight away. Both lists are fully customisable.

Remove a member

Admins can end a membership. The person remains a SinfoniaOne user and stays active in any other associations. Content they created stays with the association.
